Administration Department
Office Manager
- Review clerical records to ensure completeness, accuracy, and timeliness
- Coordinate activities and schedules of office staff with each department
- Assists in monthly closings
- Perform data entry and verify customer vehicle information is accurately recorded in the system and that vehicles are properly tagged with a work order
Deal Processor
- Process car deals and all bank paperwork
- Balance debits and credits for calculations on Deals
- Works with sales department to obtain or correct all required documents
- Verify information on bank documents
Payroll/HR Coordinator
- Compile payroll data
- Prepare and issues paychecks Prepare periodic reports of earnings, taxes, and deductions
- Prepare/file all hiring and termination paperwork including COBRA letters
- Maintain records for vacations and sick-day eligibility
Warranty Clerk
- Processes all warranty claims to ensure compliance with the Manufacturer(s)
Accounts Payable
- Post invoices
- Reconcile statements
- Disburse checks
- Balance statements and finalize data
New Car Inventory Manager
- Manages the new vehicle allocation and dealer trades of all new vehicles.
- Ensures there is a strong mix in our inventory and that every vehicle goes through a pre-delivery inspection.
Used Car Inventory Manager
- Stocks in and processes all trade-in and auction used vehicles
- Ensures that the safeties, merchandizing, and stickering of the vehicles for the lot are completed.
Photographer
- Takes photos of all new and used vehicles and then posts them into our inventory management system.
Marketing Assistant
- Assists with the production of all traditional and digital marketing initiatives to promote the dealership
Sales Department
Receptionist
- Answer dealership group phones
- Greet and receive prospects and customers
- Direct customers to the correct department
- Does varies office tasks as needed.
BDC Sales Representative
- Interact with customers to identify their individual needs and opportunities for new/used cars sales presentations
- Work closely with the BDC Manager and other BDC sales personnel to ensure sales lead opportunities are accounted for and appropriate notes are made in the CRM
- Complete phone calls as assigned
Sales Consultant
- Offer assistance or direction to any customer who enters the dealership
- Assist customers in making a purchase decision by asking questions and listening carefully to their responses and needs
- Explain product performance, application, and benefits to prospective customers
BDC Manager
- Develop and execute outbound internet and phone campaigns
- Maintain sales and service forecasts
- Ensure all leads are followed up with in a timely manner
- Provide training and ongoing support to the business development representatives to help the team understand and achieve the dealership's goals
Finance Manager
- Develop a comprehensive menu selling process to maximize the finance department's overall profitability and product penetration
- Track portfolio with lenders
- Review and inspect the flow of the department's paperwork on a daily basis to ensure a timely turn around on all deals
- Ensure all deals are fully compliant with local, state, and federal guidelines
Sales Manager
- Hire, train, and manage a team of automotive salespeople
- Coach salespeople on best practices for closing deals and provide guidance to improve sales performance
- Set sales goals, track progress, and manage team to achieve and exceed those quotas
Service and Parts Department
Porter, Detailer, Lot Attendant
- Clean and detail vehicles
- Inspect each finished product
- Clean areas of the dealership as needed
- Help maintain the lot
- Perform work specified on the repair order with efficiency and in accordance with dealership
- Test drive vehicles, and test components and systems, using diagnostic tools and special service equipment
- Diagnose, maintain, and repair vehicle automotive systems
Parts Rep
- Oversee the parts sales process from start to finish
- Work with parts manager to locate any parts not in stock
- Complete special order part request for the customer
- Communicate with customer on parts status
Service BDC Rep
- Calls customers to schedule appointments for routine maintenance, warranty concerns, recalls, and declined maintenance.
Service Advisor
- Obtain customer and vehicle information
- Clearly report all vehicle symptoms as described by the customer
- Determine and recommend maintenance base on age, mileage and history of vehicle
Service Manager/Service Director
- Maintain a service customer follow up system that encourages repeat and referral business and contributes to customer satisfaction
- Hire and supervise all service department personnel, as well as monitor their performance in servicing customers
- Create goals and objectives for the department, which include an annual operating budget, and a marketing plan to promote new business.
- Maintain a high Customer Service Index (CSI) rating by handling customer complaints immediately and appropriately
Parts Manager
- Forecast goals and objectives for the parts department
- Hire, train, and monitor the performance of all parts department staff
- Maintain inventory consistent with the requirements of the various departments
- Create pricing guidelines for customer categories
Body Shop Manager
- Manage customer expectations
- Ability to manage others
- Ensure work is performed efficiently and accurately
- Participate in all required training programs, certifications, school courses and events
- Ensure all tools and equipment are used safely and accurately
- Respond to safety concerns immediately
- Perform as a mentor to body shop employees
- Strong writing and communication skills;
- Experience with CCC One Estimating System;
- Three+ years experience in the automotive industry (specifically in service and repairs);
- Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume;
